FINANCE & OPERATIONS
ACTIVITIES
Program Supervision / Finance & Budget Dan Mitten
Completed:
  • Attended management team meeting. Attended Board meeting where I presented Financial Reports and the Board Resolution for the adoption of the FY19-20 budget. Held 1X1 with F&O staff. Attended and participated in the EMSWCD Open House and Gardens event on June 1st.
  • Completed first draft of Public Records Policy (1.2.3) and submitted to Executive Director for input. Began revamp of Retention Schedule associated with Public Records Policy.
  • Worked with bookkeeper on payroll process and documentation. Submitted OSGP retirement plan contributions
  • Prepared Budget vs. Actual reports.
Planned:
  • Contributed to and worked on 2019-2024 Strategic Plan - reviewed entire draft, provided input, and completed Finance and Operations section. Began work on FY19-20 Annual Plan for Finance and Operations program.
  • Monitoring actuals vs. budget to ensure programs do not exceed appropriations as the fiscal year is near completion.
  • Created FY19-20 Timesheet template. Submitted FY19-20 adopted budget, materials, and documentation requested to TSCC for review and acceptance.
Office Management Lindsay Nelson
Completed:
  • Board meetings: took minutes, ordered food, for June Board meeting. Finished meeting minutes. Set up and took minutes for Special Board meeting. Sent out notices.
  • Met with Stuart briefly to discuss benefits. Prepared and sent out benefit enrollment forms for him. Helped Kathy with Benefits section of Brandi's job description.
  • Met with Equity Team and Equity Sub Committee, worked on Equity Team assignments.
  • Completed FY 19-20 work plan.
Facilities Management Scot Wood
Completed:
  • I have been working on scheduling contractors for the EV charging station install as well as with staff's help, updating the Emergency Action Plan.
  • I have been working on some wash station improvements as well as taking equipment in to be serviced and picking them back up.
Planned:
  • I will be working with the Safety Committee to schedule evac and earthquake drills I will be overseeing the concrete and electrical contractors on the EV charging station install.
  • I will be continuing to work on wash station improvements as well as getting assisting Rowan with contractor coordination on the large farm projects scheduled to start this month.
Marketing & Media Alex Woolery
Completed:
  • Materials: working on new Land Legacy mailer, coordinating between staff and other agencies on potential material reorders, taking stock of materials. Sent herbicide signs to print. New office outdoor signage.
  • Website: further updates to Land Legacy section, Board/Committee support, related press releases and updates.
  • IT: worked on documenting and setting up correct email permissions; issues with folders and calendars; staff email issues, printing troubleshooting/support, internet/phone issues.
  • Worked with Monica and with volunteer family on establishing EMSWCD Spanish translation.
  • Discussion with Matt and with Natalie Bennon on press strategies for Oxbow Farm PR.

RURAL LANDS
ACTIVITIES
Program Management Julie DiLeone
Completed:
  • Re-carbonizing row crops webinar.
  • Helped out at the Open House event.
  • Site visit to potential easement property.
Planned:
  • Rural lands work plan for next fiscal year.
  • OWEB small grants team meeting.
  • ODA scope of work for next fiscal year.
Rural Water Quality Aaron Guffey
Completed:
  • Created mapping templates for ArcGIS Pro.
  • Communicated with the nursery that purchased EMSWCD's Oxbow property regarding irrigation improvements.
  • Met with Matt, Andrew and Julie regarding a property that a nursery that intends to purchase on which EMSWCD would like to put a conservation easement.
Planned:
  • Attend all Oregon Association of Nurseries Mt. Hood Chapter meetings and events. Fulfill the responsibilities of treasurer on the Mt. Hood Chapter board.
  • Monitor CLIP projects I have managed. Work with a nursery to install an approved CLIP access road project. Assist the same nursery with irrigation efficiency.
  • Work with the nursery that purchased EMSWCD's Oxbow property to implement conservation practices on the property.

Technical Assistance Jeremy Baker
Completed:
  • Currently updating my FY2019-2020 workplan.
Weed Management Chris Aldassy
Completed:
  • I presented two sites that we have been working on at the CGCWMA field day. Both sites are part of larger control projects that we had been working on before the fire.
  • Finishing up Garlic Mustard work for the season, triple checking sites and surveying likely pathways in priority areas.
  • Had crews out to for work on SEVER projects and Burn area EDRR work.
Planned:
  • I'm going to burn up some more of that sweet sweet vacation time!
  • False Brome work will begin.
  • Burn area EDRR work will continue.
Weed Management Jon Wagner

Outreach & Education Chelsea White-Brainard
Completed:
  • Equity: Planned and prepared materials for the Board DEI work session on May 17th. Developed organization-wide equity goals. Worked on strategy for getting community feedback on our equity plan.
  • Projects: Spent May 9th filming and assisting Emma Browne on short videos about Headwaters farmers. Sent mailer to potential StreamCare landowners along Smith and Big Creeks. Did wildlife surveys of the DPNA and water quality sampling with Jon.
  • Events: Planned and helped facilitate the 4-County CWMA (Cooperative Weed Management Area) Field Day. It was held in eastern Multnomah County on June 12th and featured a tour of the DPNA (Dianna Pope Natural Area) at Headwaters by Lucas and a tour of Nadaka by Monica. Prepped and staffed the Rural Lands table at the Open House and Garden.
Planned:
  • Equity: Refine strategy for getting community feedback on our equity plan and develop a scope of work for our contractors.
  • Projects: Door-to-door outreach for StreamCare with Lucas.
URBAN LANDS

Program Management Kathy Shearin
Completed:
  • EMSWCD Open House.
  • Brought Brandi on-board to fill in for Katie - offer letter, write job description, etc. Review and make edits to 5-year strategic plan.
  • Attended EMSWCD Board Meeting and Special EMSWCD board mtg. Attended: Adult Conservation Education meeting, Solve Pest Problems User-Interface improvement meeting, MHCC Steering committee, follow-up meeting on East County Urban Forestry proposal.
Planned:
  • Meet with VOZ to discuss future partnership to provide education/workshop opportunities for day-laborers.
  • Reviewing improved draft designs for Native plants web-tool.
  • Pulling together contract for MHCC contract for phase 1b - construction of parking lots G & H.
Technical Assistance Whitney Bailey
Completed:
  • Met with Greenworks to discuss office green roof condition.
  • Urban CLIP language review and revisions.
  • Review and submit reimbursement request for CLIP project.
  • Weeding and landscape work to prepare for Open House.
  • Soliciting and reviewing bids for pervious paver installation.
  • Bike shed green roof maintenance/watering.
  • Tech assist on poison hemlock removal, native groundcovers, water use efficiency, etc.
Outreach & Education Monica McAllister

  • Open House and Garden Event! Event Prep, outreach (canvasing, emails, etc.) running event, and post event cleanup/wrap-up!
  • Attended Vanport Mosaic's Memory Activism Fair and film viewing. Worked on DEI implementation.
  • Welcomed new intern Rhesa!
Planned:
  • DEI Planning Committee Meeting and Internal Working Group Committee Meeting.
  • 4-County CWMA Field Day/presentation, East Portland Parks Meeting, Nadaka Visioning Committee, and Meeting with Voz about culturally specific workshops. Walk Williams Tabling Event.

Outreach & Education Brandi Boersma
Completed:
  • Open House prep and event. MHCC Conservation and Repair Fair. First Walk Williams tabling outside of EMSWCD.
  • Lower Willammette Valley SWCD Conservation Educators Meeting. Hosted Humboldt Neighborhood Association Meeting here at EMSWCD.
  • Final workshop of the Spring 2019 season. Final transition between Katie and myself as Intern Outreach and Education Specialist. Handing off and training intern/workshop tasks to Rhesa.

Program Management Andrew Brown
Completed:
  • Initiated preparation of the FY19-20 EMSWCD annual work plan. Worked on refining the EMSWCD strategic plan.
  • Finalized grant application for Headwaters solar installation, and investigated appropriate procurement options for the project.
  • Assisted Suzanne with host east county urban tree canopy partner meeting.
Planned:
  • Complete draft EMSWCD annual work plan for FY19-20.
  • Assist Matt with advancing possible easement opportunity, ahead of the July Board meeting.
  • Assist Rowan with the projects at Headwaters and procurement of the equipment shed.
Grants Suzanne Easton
Completed:
  • PIC 2019 - Completed 11 contracts, 9 to go; made administrative changes to match documentation requirement. Attended Nadaka meeting regarding work plan for remainder of 2019 and long-term plans for organizational support. SPACE - completed June SPACE grants approvals, awarded 3 grants, 1 declined, 1 on hold for additional information; met with potential applicant; attended funded workshop on Outdoor School to support community engagement.
  • Equity: Attended one full team meeting and two sub-group meetings. Prepared/reviewed materials for small discussion groups; worked on DEI annual work plan.
  • Coordinated and attended East County urban forestry meeting to discuss declined PIC application and prospects for alternative funding.
Planned:
  • Complete 3-4 additional 2019 PIC contracts. Transition SPACE program's deadline to the 1st of each month, make necessary changes to documents and in ZoomGrants.
  • Equity: continue to work on internal planning/activities and grant program equity strategies, participate in Equity Team meetings; attend workshop on collecting and using demographic information.
  • Work on performance review and FY19/20 annual work plan.
Land Legacy Matt Shipkey
Completed:
  • Significantly advanced working farmland conservation opportunity; explored several other land conservation opportunities/threats.
  • Finalized group presentation for Land Camp. Finalized draft of newsletter outreach element for design stage.

Planned:
  • Participate in Land Camp.

Headwaters Farm Rowan Steele
Completed:
  • Acquired permits for the equipment shed construction project.
  • Overseeing earthmoving project on the farm, including the road realignment through the Dianna Pope Natural Area, improvements to the main driveway, and pad development for the equipment shed.
  • Provided support for Chelsea and Lucas’ tour at Headwaters Farm.
Planned:
  • Wrapping up the various earthmoving projects at Headwaters Farm.
  • Conducting the first weed walk of the season to assess weed management by HIP farmers.
  • Creating 2nd quarter invoices for HIP farmers.
Headwaters Farm Stuart Moeller
Completed:
  • Built, repaired, and modified irrigation risers.
  • Managed weeds by hand and tractor.
  • Supported the onsite preparations to begin earthmoving projects.
Planned:
